How We Manage Data and Protect Privacy
This Privacy Policy explains how LegacyHQ Inc., a Delaware corporation, collects, uses, stores, discloses, and protects information in connection with the LegacyHQ Website and Service.
This policy references the LegacyHQ Terms of Use.
This policy may be updated from time to time. When we make material changes, we will update the date shown below and may also provide notice through the Service, on the Website, or by email.
For clarity, this policy addresses information handled by LegacyHQ in two contexts: 1) as a provider of the Service to customers, and 2) as a business interacting with website visitors, prospects, customers, vendors, and other contacts.
1. LegacyHQ as a Service Provider
1.1 Your Data
As between You and LegacyHQ, You retain ownership of the customer data, files, documents, and other information that You submit to the Service. This Privacy Policy describes how LegacyHQ collects, uses, stores, and discloses personal information and other data in connection with the Service.
1.2 Access Controls
You control which users are authorized to access Your account and data through the Service. It is Your responsibility to manage user permissions, maintain credential security, and remove access when it is no longer needed.
1.3 How LegacyHQ Uses Service Data
LegacyHQ may access and process data submitted to the Service as necessary to provide, maintain, support, secure, monitor, troubleshoot, improve, and enforce the Service, including for onboarding, implementation, migration, configuration, backup, fraud prevention, usage measurement, analytics, and product development.
1.4 Security
LegacyHQ uses commercially reasonable administrative, technical, and organizational safeguards designed to protect data in the Service. No method of transmission over the Internet or electronic storage is completely secure, and LegacyHQ cannot guarantee absolute security.
1.5 Payment Information
Payment card information is handled by third-party payment processors. LegacyHQ does not store full payment card numbers within the Service.
1.6 Service Providers and Subprocessors
LegacyHQ may use service providers and subprocessors to operate the Service, including providers of hosting, infrastructure, storage, payments, email, analytics, security, customer support, and compute or AI-enabled functionality. These providers may process data on LegacyHQ’s behalf subject to contractual or legal restrictions.
1.7 Breach Notices and Contact
If LegacyHQ becomes aware of a confirmed breach of security involving personal information for which notice is required by applicable law, LegacyHQ will provide notice as required by law. If You have privacy questions or concerns, please contact privacy@legacyhq.com.
1.8 Relationship to Terms of Use
This Privacy Policy should be read together with LegacyHQ’s Terms of Use. In the event of a conflict between this Privacy Policy and the Terms of Use regarding the use of the Service, the Terms of Use will control unless applicable privacy law requires otherwise.
2. LegacyHQ as a Business
2.1 Information We Collect
LegacyHQ may collect personal information directly from You when You create an account, use the Service, request a demo, subscribe, contact us, complete forms, attend events, respond to surveys, or otherwise communicate with us.
2.2 Categories of Information
The categories of information we collect may include account and profile information, billing and transaction information, communications, support requests, user-generated content, document and matter information, usage records, device and browser information, and information You choose to submit to us.
2.3 Automatic Collection
LegacyHQ may automatically collect technical and usage information such as IP address, browser type, device information, operating system, log data, referring URLs, pages viewed, feature usage, and other activity information from the Website and Service.
2.4 How We Use Information
LegacyHQ may use personal information to:
  • provide, operate, maintain, and improve the Website and Service;
  • authenticate users and administer accounts;
  • process billing, payments, subscriptions, and usage charges;
  • provide support, respond to requests, and communicate with You;
  • monitor performance, usage, security, abuse, and compliance with our terms;
  • develop, train, test, improve, and analyze our products and services, including through aggregated or de-identified data and, to the extent permitted by law and our agreements, through data submitted to the Service;
  • send administrative and service-related notices; and
  • send marketing communications where permitted by law, subject to Your opt-out rights.
2.5 Cookies
A cookie is a file containing an identifier that is sent by a web server to a web browser and stored by the browser. The identifier is sent back to the server each time the browser requests a page from the server. Cookies may be either “persistent” cookies or “session” cookies. Cookies do not typically contain any information that personally identifies a user, but personal information that we store about you may be linked to the information stored in and obtained from cookies. We use cookies for purposes such as:
  • Authentication: To identify you when you visit our website and as you navigate our website;

2.7 Roles and Responsibilities

Depending on the context, LegacyHQ may process personal information as a service provider on behalf of customers and, in other cases, as an independent business for its own operational, legal, billing, marketing, security, and compliance purposes.

If You use the Service to store or process personal information about other individuals, You are responsible for providing any required notices and obtaining any required rights, permissions, or consents. You also remain responsible for Your own legal and professional obligations relating to that information.

2.8 Retention

LegacyHQ retains personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Service, maintain business and billing records, resolve disputes, enforce agreements, and comply with legal obligations.

Unless a different period is required by law or agreed in writing, customer data in the Service is generally retained during the term of the account and for up to 30 days after termination to support export and account closure, after which deletion may occur on a commercially reasonable schedule. Backup copies, security logs, and certain records may be retained for a longer period, such as up to 90 days or longer where required by law. Marketing and prospect information may be retained for up to 24 months after the last meaningful interaction, unless earlier deletion is requested or required by law.

2.9 Access, Correction, Deletion, and Marketing Choices
Subject to applicable law, You may request access to, correction of, or deletion of certain personal information by contacting support@legacyhq.com. You may also opt out of marketing emails using the unsubscribe link in those messages or by contacting us.
